Set the viewing’s permitted activities
Define whether guests will observe the car, enter the cabin, photograph it or participate in an owner-approved demonstration. Record what is not part of the appointment as well. A simple activity statement helps prevent an invitation from being interpreted differently by a guest, photographer and vehicle handler. The host should resolve those permissions before asking another provider to support the gathering.
Distinguish the owner, host and vehicle handler
Identify who owns or controls the car, who organises the appointment and who is authorised to handle it. Those roles may belong to one person, but they should not be assumed. FSO Guard publishes event-security services; the host can bring a defined assignment for review. Such an assignment does not automatically transfer the vehicle handler’s technical or commercial responsibilities to the security provider.
Coordinate the setting with its actual contact
Establish which space the venue permits for the viewing and who can approve a change. A showroom, private property and hired event space have different coordinating contacts, even when their entrances look similar in a photograph. Share relevant access information with the accepted providers. Keep specific concerns in the appropriate private discussion instead of inserting sensitive operational detail into a general invitation or production call sheet.
Make the guest process understandable
Choose one organiser to maintain the accepted attendance information and answer an unexpected guest question. That is a coordination role, not a prescription for protective tactics. A professional provider should assess the support requested for the actual setting. Do not assume that a vehicle reservation, venue receptionist or photographer will silently absorb a guest-management task that was never assigned to them.
Finish with an accepted appointment record
Keep the viewing purpose, approved activities, responsible people and relevant timings in one final version. Retain the separate vehicle, venue and any security confirmations behind it. If filming, attendance or location changes, ask the affected provider to review the revised request. A short, current record is more useful than a polished invitation attached to a collection of unresolved assumptions.
Questions before the next step
Does a private viewing require the same coverage as a public event?
Not automatically. Describe the setting, activities and concerns so the provider can assess the proposed assignment rather than importing a plan from another type of gathering.
Who may authorise a guest to enter or move the car?
The owner or explicitly authorised responsible person should establish those permissions. The host’s brief should identify that authority without relying on the guest to infer it from the invitation.
Company information and next steps
Discuss the private-viewing event scope with FSO Guard — The event service is relevant to the host’s proposed assignment rather than the vehicle booking itself.
Discuss your own requirements directly with the relevant company. Confirm the scope, availability and written terms for your project.
